- What happens to a denied claim end to end: who investigates it, who files the appeal, and how is the outcome reported back to us?
- How is accounts receivable recovery structured: is it a distinct step, or folded silently into "billing"?
- What patient communication and portal functionality does my team get? Can patients see their own balance and pay through a portal, or is it phone and mail only?
- Is dental-to-medical crossover billing (OMS, implants, sleep apnea) something you actually do, or something you say you do?
- What is the average time from claim submission to payment posting, and can you show a real example?
- Is credentialing handled in-house or through a third-party partner?
- What exactly is included in the base fee versus billed as an add-on verification, patient billing, accounting?
Commercial, location and integration
- The full rate card, in writing. Flat-fee floor, every percentage tier, setup fee, and what is excluded before any demo, not after.
- Where the team is physically located. US-based, offshore, or a mix and whether that changes at any collections tier.
- Whether they appear on my PMS vendor’s own published partner or vendor-tier list. Ask the PMS vendor directly, not just the RCM company; several companies in this research claim integrations their PMS vendor’s own register does not list.
- Which security certifications they hold themselves, not their cloud host or a third-party attestation vendor. Ask to see the actual SOC 2 report or the HITRUST certificate number.
